We are looking for an exceptional candidate to perform a variety of administrative tasks and support our company’s senior-level managers by managing their schedules and creating reports, support communications, coordinating events and reservations, meeting with owners and replying to correspondence as necessary.
To be successful in this role, you should be well-organized, excel in prioritizing tasks, have great time management skills and be able to act without guidance.
Requirements and Skills:
1. 3+ years in Customer Service/ Front Desk agent or in Social Media/ Communications
2. Strong phone contact handling skills and active listening
3. Familiarity with CRM systems and practices
4. Excellent communication and presentation skills
5. Ability to multitask, prioritize, and manage time effectively
6. Excellent MS Office knowledge, Google Workspace, ZOOM
7. Outstanding organizational and time management skills
8. Familiarity with office gadgets and applications (e.g. e-calendars, scanners and copy machines)
9. High level of integrity, discretion and confidentiality
11. Fluent in English
12. Bachelor´s degree in Tourism, Business Administration, Communications or Marketing
Responsibilities:
1. Lead public relations efforts.
2. Coordinate community events.
3. Implement Communications Systems and strategies with Property Owners, Employees, Vendors, General Public.
4. Manage all emails and inquiries.
5. Provide communication and accountability for follow-ups, when necessary. Examples: Utilities, Annual Fees, Maintenance, Grounds Keeping, Property Access, Deliveries, Complaints, General Requests, General Questions, and others.
6. Serve as a front desk and reservations agent for all rentals, in coordination with housekeeping.
7. Social Media Management.
8. Security & Emergencies protocols.
9. Maintain and update property owner contacts and records.
