The Construction Coordinator provides administrative support to our construction team while supporting the organization’s mission, vision, and values.

Essential Position Functions:

 Provides administrative support for the construction staff members, including email and telephone coverage, mail handling and necessary communications internally and externally.

 Creates and maintains detailed filing system and record keeping including subcontractor contact lists, submittal and contract logs and drawing lists.

 Put together Subcontracts, Purchase Orders and Change Orders, sends out and updates as needed.

 Obtain permits, track lien waivers and insurance, and complete subcontractor pay application processing.

 Enter in all Purchase Orders and Change Orders into Accounting software.

 Creates and maintains template forms for use by construction team members.

 Assists in bidding process and organization of pricing as it corresponds to each project.

 Preparation of Owner contracts per project using AIA Software.

 Regularly communicate with all necessary employees, outside vendors and other individuals as deemed necessary to fulfill the responsibilities of the position.

Education and Experiences:

 Knowledge (Intermediate to advanced) of various operating systems, software products (e.g. MS Office, etc.), is required.

 Ability to objectively coach employees and management through complex, difficult, and emotional issues.

 Ability to work independently and efficiently manage time / workload.

 Ability to read, analyze, and interpret financial reports, business, professional, and technical documents.

 Ability to effectively respond to common inquiries or complaints from customers and staff.

 Ability to write presentations, articles, routine reports, proposals, and correspondence.

 Ability to speak and communicate effectively before customers and staff.

 Ability to calculate figures and amounts such as discounts and percentages.

 Ability to define problems, collect data, establish facts, and draw valid conclusions.

 Ability to work under deadline pressure and extra hours if needed.
